At Ascent Volleyball, we strive to provide high-quality programming with consistent scheduling for all participants. Please review our policy.

A. Registration

Registration is completed through our online registration portal which can be accessed on our website.

Eligibility is noted on the specific programs’ registration details.

Waitlists are available and listed in the order the registrations were received. Should spots become available, registrants will receive an email requiring payment prior to enrollment of the program. Registrants will be given 48 hours to make payment before the spot is offered to the next registrant on the waitlist.

Minimum and Maximum enrollment is noted on the specific programs’ registration details.

Should any program modifications occur, registrants will be informed by the email in which was used to register for the program, with a minimum of two weeks notice.

B. Fees and Payment

All fees listed on the program are inclusive of all credit card and GST fees. Payments are to be made at the time of registration to secure their enrollment.

Should a spot open up, registrants will be informed via email to the email address provided during registration. Registrants will then have 48 hours to make payment and secure their enrollment in the desired program.

Payment methods include E-transfers and credit card payments.

Late payments will result in the registrant’s spot being offered to waitlisted registrants in the order in which registrations were received. Registrants who miss the 48 hour window and would like to remain on the waitlist, their registration will be added to the end of the waitlist.

Non-sufficient funds due to credit card payments failing will result in the registrant’s spot being offered to waitlisted registrants.

Payment plans are available to those who require it. Please email info@ascentvolleyball.com to discuss payment plan options after registering the athlete. Please inquire of payment plans prior to paying for the program. If payment is received, payment plan option will not be available.

C. Refunds & Withdrawals

1. Missed Classes

We are unable to offer make-up classes, credits, or pro-rated refunds for individual sessions missed due to personal scheduling conflicts, illness, or other absences.

2. Cancellation, Withdrawals & Refund Requests

Refunds are available if requested a minimum one week prior to the program start date. Refunds requested after this date will not be accepted unless due to injury or emergency. In such circumstances, Ascent Volleyball Inc. requires a written request and may require doctor’s notes or related documentation by email to info@ascentvolleyball.com.

Credit Method: Approved refunds will be issued as credit toward future Ascent Volleyball clinics or camps. Credit would be prorated according to the number of sessions participated.

Cash Refunds: Cash refunds are subjected to an 18% administrative fee and will be refunded in the same method in which the registration was paid.

Late Requests: Requests made within one week of start date are not eligible for a refund or credit unless due to injury or emergency with written doctor’s note or related documentation by email.

3. How to Withdraw

All notices of withdrawal or cancellation must be submitted in writing. Please email your request to info@ascentvolleyball.com.

4. Program Cancellation by Ascent Volleyball Inc.

Should Ascent Volleyball Inc. cancel programs, we will provide you with full refund.

Should Ascent Volleyball Inc. cancel any sessions within a program, Ascent Volleyball Inc. will provide a prorated refund for any cancelled sessions

D. Attendance

Participants are expected to attend all scheduled sessions and arrive prepared with their court shoes, gym attire, and long hair tied up.

The spot has been reserved for the participants and cannot be replaced by another participant.

Absences are not eligible for refund unless due to extenuating circumstances. Families are to email Ascent Volleyball Inc. at info@ascentvolleyball.com.

Ascent Volleyball Inc. kindly asks families to inform us of any absences, late arrivals or early departures to allow for adjustments in training plans.

Make-up sessions are not offered for missed sessions.

E. Athlete Code of Conduct

Athletes are expected to show coaches, other participants, other families, facilities and its equipment/staff/etc. and themselves:

  • Respect
  • Sportsmanship
  • Effort
  • Coachability
  • Integrity
  • Appropriate language

Any bullying or harassment will not be tolerated and will result in the participant’s immediate removal from the sessions and withdrawal from the program.

F. Parent & Spectator Code of Conduct

Parents and spectators are asked to show positive sideline behavior, respect for officials, coaches, athletes, and other spectators.

No sideline coaching will be permitted.

Abusive or disruptive conduct will not be tolerated and will result in the spectator’s removal from the session and future spectating privileges.

G. Safe Sport Policy

Ascent Volleyball Inc. and its coaches are committed to a safe, inclusive environment.

We do not tolerate bullying, harassment, discrimination, abuse, hazing, retaliation, or other forms of maltreatment.

We kindly ask all participants, parents, and witnesses to report any observed maltreatment to us by email: info@ascentvolleyball.com.

Participants guilty of any of the above behaviors will be removed from the program immediately.

H. Behavior and Discipline Policy

Ascent Volleyball Inc. reserves the right to follow a progressive discipline protocol:

  1. Participants will be spoken to, and their parents will also be informed of any inappropriate behavior. This may be done in person by the director or coach or via email.
  2. Participants who continue inappropriate behaviors will be suspended immediately from further activity. Parents will be notified after the session.
  3. Participants who continue inappropriate behaviors after suspension will be officially withdrawn from the program.
  4. Parents of participants may appeal with the director via email at info@ascentvolleyball.com.

I. Medical & Injury Policy

Disclosure of medical conditions is required so that coaches are prepared to intervene if necessary.

Participants and their families are required to report any injuries that occur outside of our programming. Coaches are also required to inform families and the director of injuries that occur during Ascent Volleyball Inc. training programs.

Return-to-play protocol will be followed should participants have suffered a concussion or potential concussion. Similar protocol will be followed for other injuries.

The protocol for return-to-play is compliant with Safe Sports BC.

J. Illness Policy

Athletes are required to stay home should they feel ill.

Returning to our programs requires athletes to have doctor’s notes or are not exhibiting symptoms such as but not limited to: coughs, runny nose, fever, sore throat, sneezing, etc.

Families are required to inform us of communicable illnesses they may have contracted or might have transmitted to other participants in the program: info@ascentvolleyball.com.

K. Weather & Facility Closures

Indoor facility closures are not the responsibility of Ascent Volleyball Inc. and thereby do not constitute refunds. Weather conditions such as smoke, extreme heat, emergency closures, and other weather conditions that may result in facility closures are not the responsibility of Ascent Volleyball Inc., and thus, do not qualify for refunds.

Ascent Volleyball Inc. is required to notify families/registrants and coaches of any facility closures as soon as possible to ensure the safety of all.

L. Equipment & Uniform Requirements

Athletes and coaches are required to wear appropriate footwear, athletic clothing, bring a water bottle and any other apparel/gear they deem necessary for their participation in our programs.

M. Facility Rules

Gym access is allowed 10 minutes prior to program start time. Athletes and their families must remain outside of the facility/gym until then.

No food or drink are allowed in the gym other than water. Any spilled water is required to be immediately wiped in order to ensure the safety of all.

Athletes are required to inform the coaches upon leaving the gym.

Athletes will have access to change rooms if needed.

Parking follows the facility’s and city’s bylaws in that area.

Lost & Found items will be placed in the facility’s lost and found area. Please reach out to the facility to inquire about any missing items.

N. Communication Policy

Official communication methods are via email to info@ascentvolleyball.com.

It is the parents’ responsibility to inform Ascent Volleyball Inc. of any requests or notices.

Families can expect a 24-48 hour response time. Weekends not included.

Any communication can be made in person to the coaches first, then the director via email at info@ascentvolleyball.com.

O. Program Changes

Ascent Volleyball Inc. reserves the right to make changes to gym locations that will better serve our training programs. However, we will make every effort to relocate to locations within Vancouver and as close as possible to the original venue during registration.

Notification of gym changes will be made as soon as possible with a minimum of two weeks notice prior to program start date.

Any refund requests or withdrawals will follow the same policies as mentioned above.

Ascent Volleyball Inc. reserves the right to make any schedule changes, coach substitutions, facility changes, curriculum adjustments, program cancellations.

We will notify you as soon as possible of and with a minimum of two weeks notice on: schedule changes, coach substitutions, facility changes, and curriculum adjustments.

Please know that program cancellations will only occur due to extenuating circumstances such as loss of gym space. The loss of gym space is not in the control of Ascent Volleyball Inc. and may occur at any time before or during the program. In this case, Ascent Volleyball Inc. will do what’s possible to obtain another facility.

Refunds are not available if participants are not able to travel to the new facility.

Partial refunds will be made to participants should we not be able to secure a new facility for our programs’ use.
